Privacy Policy

This Privacy Notice (or “Policy”) describes MeetRox’s policies and procedures regarding the collection, use, and disclosure of your Personal Data. This Privacy Policy does not apply to information we collect through other means (including offline) or from other sources.

1. Definitions

Personal Data: any information relating to a natural person, directly or indirectly, identified or identifiable.

Controller: is the natural or legal person, governed by public or private law, who is responsible for decisions regarding the processing of personal data (data holder, hereinafter referred to as "You"/"Client").

Processor: is the natural or legal person, governed by public or private law, who processes personal data on behalf of the controller (hereinafter referred to as MeetRox).

Data Protection Officer (“Data Protection Officer”): the person appointed by MeetRox to be responsible for ensuring the fulfillment of your rights and clarifying doubts about the processing of your Personal Data.

Purpose: the reason why the Personal Data will be processed, or the objective intended to be achieved with the Data Processing.

Third Party: refers to, but is not limited to, any and all natural or legal persons with whom MeetRox has or may have a relationship, service provider, supplier, consultant, client, business partner, contracted or subcontracted third party, lessee, assignee of commercial space, regardless of formal contract or not, including those who use the Company's name for any purpose or who provide services, supply materials, interact with Public Officials, the Government or other Third Parties on behalf of the Company.

Data Subject: the natural person to whom the Personal Data refers, such as clients, employees, contractors and you.

Processing: Any operation performed with Personal Data within its lifecycle, such as collection, production, reception, classification, use, access, reproduction, transmission, distribution, processing, archiving, storage, elimination, evaluation or control of information, modification, communication, transfer, dissemination or extraction.

Capitalized terms not defined in this Privacy Policy have their meaning given in our Terms of Service.

2. What Personal Data do we process and for what purpose?

MeetRox uses information we collect to operate, maintain and provide the features and functionalities of the Service, to analyze how the Service is used, diagnose service or technical problems, maintain security, personalize content, remember information to help you access your account efficiently, monitor aggregate metrics such as total number of visitors, traffic and demographic patterns, and track content and users to provide the service more effectively.

MeetRox, as the Data Processor, undertakes to process information legally classified as personal data in accordance with applicable legislation, including but not limited to Federal Law No. 13.709/2018 (General Data Protection Law), and will process personal data according to the client's instructions, as the CONTROLLER, and solely for the purposes defined by the Terms of Use and/or other documents governing the relationship between the parties. MeetRox shall not be held liable to the data subject or to the National Data Protection Authority in any administrative and/or judicial proceedings, and the CONTROLLER shall make every effort to exempt MeetRox from any judicial or administrative proceedings that may be initiated.

Should MeetRox be subject to any of the aforementioned procedures, its right of recourse against the CONTROLLER is reserved, without prejudice to the reimbursement of expenses arising from the process, in addition to other measures, such as third-party notice, arising from any violation of personal data that may be attributed to it.

MeetRox reserves the right to refuse, by means of formal written notification, any operation ordered by the CONTROLLER that implies the processing of personal data in violation of current personal data protection regulations.

Information Provided

You provide us with information about yourself, such as your name and email address, when you register for an account on our Service, including connecting to the Service through a third-party service, or "following," "becoming a fan," adding the MeetRox application, etc., on a third-party website or network. Your name, email address, and other information that you choose to provide on the Service will be visible and discoverable by other users, according to your settings on the Service.

We may use your email address for To send communications related to the Service (including any notices required by law, instead of communication by postal mail). We may also use your contact information to send marketing messages.

If you do not wish to receive these messages, you can opt out by following the instructions sent in the message. If you correspond with us by email, we may retain the content of your email messages, your email address, as well as our responses. If you choose to use our invitation service to invite a friend to the Service, we will ask for that person's email address and automatically send an email invitation. MeetRox stores this information to send this email, to register your friend if your invitation is accepted, and to track the success of our invitation service.

Content

You also provide us with non-personal information through the Content you post on the Service. Your content and metadata may be viewed by other users according to your settings on the Service. MeetRox may, but is not obligated to, monitor the content you post on the Service. We may also remove any information you post, in accordance with the provisions of the Terms and Conditions.

MeetRox or MeetRox employees will not view your Content except:

  • (i) if your settings on the Service allow it;

  • (ii) to maintain, provide or improve the Service;

  • (iii) to help you resolve your support requests; or

  • (iv) to comply with or prevent violation of applicable law or regulation, cooperating with law enforcement.

Cookies

When you use the Service, we may send one or more "cookies" – a small data file – to your computer to uniquely identify your browser and allow MeetRox to help you log in faster, improving your browsing experience on the site.

A cookie may transmit anonymous information to us about how you browse the Service. A persistent cookie remains on your hard drive after you close your browser so that it can be used by your browser on subsequent visits to the Service. Persistent cookies can be removed by following your browser's instructions.

A session cookie is temporary and disappears after you close your browser. You can reset your web browser to refuse all cookies or to indicate when a cookie is being sent. However, some features of the Service may not function correctly if the cookie acceptance function is disabled.

Log Files

When you use the Service, our servers automatically log certain information sent by your web browser. These server logs may include information such as your web request, Internet Protocol ("IP") address, browser type, referring/exit pages and URLs, number of clicks and how you interact with links on the Service, domain names, landing pages, pages viewed, mobile carrier, and other information.

Clear Web Beacons Information

When you use the Service, we may employ clear web beacons that are used to track online usage patterns. In addition, we may also use clear web beacons in HTML-based emails sent to our users to track which emails are opened by recipients. This information is used to enable more accurate reporting and to make MeetRox better for our users.

Device Identifiers

When you access the Service through a mobile device, we may remotely access, collect, monitor, and/or store one or more "device identifiers." Device identifiers are small data files or similar data structures stored on or associated with your mobile device that uniquely identify your mobile device and may send us information about how you use the Service, as well as be used to improve the Service.

A device identifier may persistently remain on your device to help you log in faster and improve your navigation of the Service. Some features of the Service may not function correctly if the use or availability of device identifiers is impaired or disabled.

MeetRox may access, collect, and/or store device identifiers when enabling MeetRox Services. A device identifier can be stored in the following ways: in connection with the device's hardware, through data stored in connection with the device's operating system or other software, or also through data sent to the device by us.

A device identifier, while not collecting or sharing any Personal Data that directly identifies you, may be used in conjunction with other Personal Data that allows your identification.

Third-Party Tools

MeetRox uses third-party analytics tools, such as Google Analytics, to help understand the use of the Service. Many of these tools collect information sent by your browser as part of a web page request, including cookies and your IP address. These analytics tools also receive this information, and their use is governed by their privacy policy.

Your Use

We will display your Personal Data on your profile page and elsewhere on the Service according to the preferences you set in your account. Any information you choose to provide should reflect how much you want others to know about you. Please carefully consider what information you disclose on your profile page and your desired level of anonymity.

We may also share or disclose your information, for example, if you use a third-party application to access your account. You can review your profile information at any time.

In the case of processing Personal Data of individuals up to 12 years of age, we will request specific and explicit consent from a parent or legal guardian.

Data obtained via Google APIs

The use and transfer of data obtained via Google APIs adhere to the Google API Services User Data Policy, including the Limited Use requirements.

3. With whom and for what purpose do we share your Personal Data?

We share your Personal Data only for specific and legitimate purposes, as described below:

Service Providers, Business Partners and Others

MeetRox may:

(i) share your contact information with our trusted business partners, who may contact you regarding products or services that may be relevant to you; and

(ii) share your Personal Data with other third parties for the purpose of providing the Service to you.

If we do so, such business partners and other Third Parties will be required to keep your information confidential and adopt the same procedures and level of protection as MeetRox. We may also store Personal Data in locations outside of MeetRox's premises (for example, on servers or databases co-located with hosting providers).

Third-Party Services

We may share your information with a third-party application, for example, when you choose to access our Services through such an application. You should ensure that you trust the application and that it has a privacy policy acceptable to you, as we will no longer be the company responsible for these Processings and for ensuring compliance with the law.

Compliance with Laws and Law Enforcement Requests and Protection of MeetRox's Rights

MeetRox may disclose your Personal Data if required by law or subpoena or if we believe it is reasonably necessary to comply with a law, regulation or legal request; to protect the safety of any person; to deal with fraud, security or technical issues; or to protect the rights or property of MeetRox.

Anonymized Data

We may disclose some information, usually aggregated, to interested third parties to help them understand usage patterns of certain MeetRox Services. The information shared for this purpose is not considered Personal Data under the LGPD, as it does not allow the identification of a Data Subject.

4. Is there international data sharing?

We offer the service in several geographic regions. We define a geographic region as the location where a user is located.

For users located in Brazil, we transfer data to the United States for processing. For these users, we adopt reasonable physical, technical, and organizational protective measures against accidental, unauthorized, or unlawful destruction, loss, alteration, disclosure, access, use, or processing of user data in our possession, following the guidelines and principles established by the LGPD.

5. What are your rights and how can you exercise them?

As a data subject, you have the right to:

  • know what Personal Data is processed by MeetRox;

  • know with whom we share your Personal Data;

  • correct, update and/or complete your Personal Data;

  • request the blocking or deletion of unnecessary, excessive or unlawfully processed data;

  • revoke your consent when your Personal Data is processed under this hypothesis; and

  • request the portability of your data to another service or product provider, upon express request by the User.

To comply with the General Data Protection Law (LGPD), we have a support channel. Our Data Protection Officer will respond within the legally specified timeframe. The contact for the Data Protection Office is: dpo@meetrox.ai.

Once we receive notification that you have withdrawn your consent, we will no longer process your information for the purpose(s) for which you originally consented.

If we process your Personal Data for direct marketing purposes, you have the right to object to this activity at any time, in which case we will no longer process your Personal Data for such marketing purposes.

Our Service offers publicly accessible community services, including blogs and forums. You should be aware that any information you provide in these areas may be read, collected, and used by others who access them.

6. How long do we store your Personal Data?

We will keep copies of your information for as long as you have an account or as long as necessary for the purposes set out in this Policy, unless applicable law requires a longer retention period. Furthermore, we retain your information for as long as necessary to establish, exercise, or defend any legal rights.

From the moment the service agreement between MeetRox and you is terminated, we will keep your personal data in our database for 180 days. After this period, your data will be permanently deleted from our systems.

7. Updates to this Notice

If we change our Privacy Policy and you are our customer or registered on our mailing list, we will send you an email informing you of the update to this Policy. We will also post these changes on this page to keep you aware of the information we collect, how we use it, and under what circumstances we may disclose it. Changes to this Privacy Policy are applicable when they are posted on this page.

8. Legal Notice

We are not responsible for the practices employed by websites linked to or from our Service, nor for the information or content contained therein. Please remember that when you use a link to go from the Service to another website, our Privacy Policy is no longer in effect. Your browsing and interaction on any other website, including those that have a link on our website, is subject to the rules and policies of the website you are accessing.
